I've been looking at what we need for traveling there and back. Here is a list for Belgium, Luxembourg, Germany, Lichtenstein, Switzerland, Italy & France:

Documentation:
Pink UK Driving Licence (with paper counterpart)*
Proof of Insurance
V5C
Passport

* if you only have a old green paper licence you will need to get an International Driving Permit (IDP)

Kit:
Reflective Jackets (All occupants)
Reflective Warning Triangle
Headlamp Beam Deflectors
First Aid Kit
Fire Extinguisher
Spare Bulbs
GB Sticker
Breathalyser
Spare Glasses/Contact Lenses (if you wear glasses/lenses)
Motorway Sticker (Switzerland Only)
Kitchen Sink not required

Don't forget Breakdown cover and make sure they will repatriate even if repatriation fee is more than the book value of the car! - you don't want your car to be scrapped!!!

Seriously?? What country does this apply to?

Hmmm, I wonder if just an old pair of glasses will be adequate (do you think they test them to check they're the same prescription?)

Or my prescription sun glasses?

This was Switzerland.. I wear contacts but will be taking my glasses and spare contacts :\
 
If you guys want to full fill every single law requirements don't forget that when driving in Germany each axle needs to be fitted with machatching pair of tyres.
There is no need to panic, europe does have much bigger problems than bunch of pandas traveling to Italy. Just don't do stupid things and you'll be ok.
 
Really I shall not be complying with any of the local regulations and I also intend to drive the whole trip on the correct side of the road, the english side if jonny foreigner doesn't like it he can take it up with the Prime Minister who I suspect will be Nigel Forage/Boris Jensen by then.

Ok guys I'm sorry to say but all the Pandas including the 4x2 vehicles (even though they aren't taking part in the off-road stuff) must pay the €25 entry fee. This will allow everyone to keep their cars on site at the chalets aswell.

As you asked Freebo we are allowed to enter the site on the Thursday evening but we'll have to navigate our own way there and there may not be any of the Italian group there at that point so we will have to organise ourselves with the staff on site at that time.

I wouldnt worry to much about navigating from Lucca to the Sport village, the hardest part is navigating around Lucca. but any smartphone with inbuilt map will show you the way without problem.
You will also pass a breakers yard as you leave Lucca.

I'm not sure on campsites in the area, but i'm sure there area few places around Lucca (and its a beautiful place to visit).
 
Would we not need to sort the same thing out if we stayed elsewhere? Are we not just checking in? I'm a bit confused. We can stay elsewhere if you want?

Well yes granted, it's just that there is a fairly clear picture of the procedure if we join in as the rest of the group checks in. But it's a fair point as we would have the same thing to do else where. How do others feel about this?
 
Ok guys, stick with me on this one...

The meeting officially starts on Friday morning. We need to be at the Lucca exit of the highway to meet some of the Italian members between 7 and 7:30am on the Friday morning. This will bring us into Capannori/Barga at around 8:30. This effort is to hopefully get into the site before the majority arive and slow the signing in operation down.

Sadly there is no camping on the site officially, but if people really don't want to pay the price for a chalet then I will have to try and sort something.

Right, prices...

There is a €50 deposit to be paid by EVERYONE who is attending the event. This is non-refundable but it also comes off the total payment at the end.

Car entry: €25
Chalet rental: €25 per person, per night.
Breakfast: €7
Lunch: €20
Dinner (Tea): €25

So, given our planned stay to be ready to leave monday morning:- 1 x Panda, 3 x nights chalet stay, 2 x breakfast, 3 x lunch and 3 x dinner = €250 (approx) including deposit.

I have been told the meal costs may vary slightly closer to the time.

We need a list of people who are definitely coming by the end of March so we can organise deposites. I may have to start an event thread or make a basic html document so we can keep track of all of this.

I am still awaiting an itinerary for the weekend which will be coming shortly.

Any more questions that I need to ask them please keep them coming.

If you need any help with local know-how or for translating few things or general help with the logistic side of things let me know
i am Italian and i got some spare time on my hands right now but not a panda yet!
I am actually in Rome right now so i could make phone calls to hotel/motel/camp sites etc.
