ok im looking the most likely cause to my over heating problem the fan isnt working but is it more likely to be from the thermostat not working or the fan has suddenly gone??? or should i be looking at something more serious??? any clues as to how best to test both and replace if needed

Take a read through those Alan, keep you occupied for an hour or 2 ;)
 
As long as you have a properly filled cooling system with no leaks, blockages or air in the system and a working pump etc, then the problem can only be the thermostat or (less likely) the fan.

The way to find out is simple, does the car overheat under normal driving conditions? (i.e doing the speed limit in a high gear under normal load.) If yes, then it's your thermostat not opening correctly or at all. (Prices range from £15 to £80 depending on your model, with extra on top if having it fitted of course.)

If the car only overheats while stationary for a long period of time, or at high revs/ load and/or high speed/ambient temperature, then it is the fan that is the problem.

The fan only ever comes on once the conditions are such that the coolant alone can no longer dissipate the thermal energy required through the radiator with the current amount of airflow it is getting, with the thermostat in its fully open state. Therefore the car would overheat under these conditions if the fan was not functioning.

checked the fan today it worked fine when connected to the batt i also had to top up the rad again did this last week so thinking maybe a leak somewhere now and the low coolant was causing the over heating
 
any way to do this myself or is this a garage job i think just keep topping up in the mean time

It's unlikely that the low coolant level will be causing the overheating, unless the level is virtually completely at the bottom of the header tank or lower. If you haven't already, I would test your thermostat. I don't know your exact overheating symptoms, but step one would be to check that the rad top hose gets hot. If you do have hg problems then you could be loosing coolant that way, but rule everything else out first. Also, a pressure test requires specialist equipment.
